Adding a Downloadable Form or Policy Document

This combines a couple of the media basics into one common real-world task – getting a new or updated document onto the site.

Steps

  1. Prepare the file with a clear, sensible filename before uploading (e.g. expenses-form-2026.pdf).
  2. Open the page where the document should appear.
  3. Add a File block (or Image block if it’s an image-based form) and upload the document — or, if you’re adding multiple related documents, use the custom Downloads block instead (see below).
  4. Check the block shows a clear label and, if relevant, a Download button.
  5. If this replaces an older version, consider whether the old file should be removed from the Media Library.
  6. Preview and Update/Publish.

Adding multiple documents: the Downloads block

If you’re listing several related files — a set of policies, forms, or reports — the custom Downloads block is often a better fit than adding individual File blocks. It lets you select multiple files and displays them together as a grouped list. For each file you can:

  • Override the displayed file name (separate from the actual filename)
  • Add a short description to give users more context about what the document contains

Tip: If a document changes often (like a termly newsletter), consider naming the link generically (“Latest Newsletter”) so you only need to swap the file, not rewrite the surrounding text each time.
